Data Protection & Privacy Policy

Any personal data provided by you to The Mind Sace Place (‘TMSP') through any means will be held and processed in accordance with the data protection principles set out in the Data Protection Act 2018 and the General Data Protection Regulation for the purposes for which you have given consent, to provide the services you have requested and to meet the legitimate interests of the TMSP.

Information about you

When you enquire about receiving services from the TMSP we ask for contact details and relevant personal information from you in order to answer your enquiry. This data is stored securely for as long as is required to establish contact. Should you not wish to engage in counselling with TMPS, your details will be removed.

Should you wish to engage in counselling with TMPS further personal details may be required in order to set up your booking or arrange a suitable appointment. This information includes contact details, your availability and other relevant personal information and will be stored securely for five years after your final session or last contact with the TMSP.

In order to work ethically, your counsellor may collect more personal information in the form of clinical details  and keep separate, confidential notes of your sessions and will ask you for your consent to do this. These notes will not contain your name or any personal identifying information. Your counsellor will store these notes securely for five years after your final session after which time they will be securely destroyed.

Our use of this information

Your personal information will be used only to provide you with TMSP services and to give you information relating to them. We will not share your personal details with any other person or organisation without your knowledge and permission, unless there is a legal requirement, if there is a child or adult safeguarding issue, or a perceived risk of harm to self or others.

Security

We will take all reasonable precautions to prevent the loss, misuse or alteration of information you give us. Communications in connection with this service may be sent by e-mail. E-mail, unless encrypted, is not a fully secure means of communication. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects, we cannot bear responsibility for all communications being virus-free.

Your rights over your personal data

If you have any concerns about the use of your data, would like to see the information held about you by TMSP, or would like to correct, update or delete any records, please email liz@themindspaceplace.co.uk. We are committed to resolving any concerns you may have about our use of your data, but if these are not resolved to your satisfaction, you may contact the Information Commissioner’s Office with whom we are registered (ico.org.uk).
